Staff members who retired before November 15, 2025, and currently possess active kenyon.edu accounts may retain email-only access under an updated set of rules and requirements.
Full implementation of the new policy for legacy retired staff account holders will go into effect on July 1, 2027.
Please know that Kenyon reserves the right to change or amend these rules and requirements. Staff members who retired from or departed Kenyon after November 15, 2025, may not retain their Kenyon account in any form after they cease employment with Kenyon.

This chart provides a quick summary of what will stay the same and what will change with your kenyon.edu account. Legacy retired staff account holders:

To retain access to a legacy email account, you must:

Have retired from Kenyon prior to November 15, 2025.

Log into your kenyon.edu account at least once every 90 days.

Review and sign the acceptable use policy and associated waiver by July 1, 2027, and annually thereafter (this will be sent by email). Users must comply with all provisions of the acceptable use policy; those who do not will lose access to their kenyon.edu email.

Complete cybersecurity training by July 1, 2027, and annually thereafter (notification of training will be sent by email).
Deactivation of Google Drive storage:
As of July 1, 2027, all data stored in the Google drive associated with your kenyon.edu account will be deactivated and permanently deleted. You are responsible for migrating any data you wish to keep (documents, photos, spreadsheets, etc.) from the kenyon.edu Google drive to a personal Google drive, iCloud drive or storage device.
How to download your Google data
By July 1, 2027, legacy account holders should:

Create a personal email account in order to migrate personal information, subscriptions, any commercial use (e.g., managing a side business), political or religious campaigning, and any other activities prohibited by the College’s acceptable use policy out of the kenyon.edu account. See examples below of prohibited activities.

Manage legacy information for heirs in a personal email account, understanding that the Kenyon acceptable use policy prohibits these individuals from accessing the user’s kenyon.edu account.
Frequently Asked Questions
All users are required to comply with Kenyon’s acceptable use policy at all times. This new policy goes into effect on July 1, 2027. You will have until June 30, 2027, to migrate any data you wish to keep (documents, photos, spreadsheets, etc … ) from the kenyon.edu Google drive to a personal Google drive, iCloud drive or storage device.
Kenyon’s IT department has created a step-by-step guide to this process. Please review it and begin to transition your materials. The training generally consists of a series of short videos with a quiz at the end of each and takes about 30 minutes. Cybersecurity awareness training is now an essential part of every national standard for safeguarding sensitive information and our compliance with standards is also essential to comply with regulations and state and national levels.

Account misuse: Using another person’s account or allowing others to use yours, or using false identities or impersonating others.
Content limitations: Transmitting, soliciting, viewing or storing offensive, discriminatory or sexually explicit content.
Harassment: Sending or posting content that intimidates, harasses, threatens or otherwise violates College policy.
Commercial use: Using College resources for personal profit or unauthorized business activity.
Personal use: Subscribing to personal newsletters, shopping sites or entertainment services, or engaging in political or religious campaigning.
