Proposal and Supplement Requests

All faculty members planning a sabbatical leave are required to submit a sabbatical proposal form (.pdf) (Word) which includes a request to the Provost for a sabbatical supplement. Here is a list of instructions and dates that you will need to remember:

  1. Schedule a meeting to discuss your sabbatical plan with the provost and with your department chair. Scheduling these appointments before or after the submission of your proposal is acceptable, although the earlier the better. Before the start of classes is encouraged if scheduling permits. Please contact Amy Quinlivan at 740-427-5117 to set up a meeting time.
  2. Complete the sabbatical proposal form (.pdf) (Word) which includes a request for supplement applicable, an abstract to be shared with the Board of Trustees (limit 150 words), and attach your proposal. The proposal should include:

a. clearly defined and articulated goal

b. a well thought out plan for achieving that goal (where and how will you do this; will you need/apply for outside funding)

c. an explanation of how this project fits into your overall professional development plan (how will it help you accomplish your short/long-term research/creative and pedagogical goals)

d. an anticipated clear, tangible product (the results of your leave)

The sabbatical proposal is required even if you are not requesting a supplement. The deadline for the sabbatical proposal form is September 15 of each year. Please send these sheets to Jalene Fox electronically at foxj@kenyon.edu.

  1. All faculty members going on sabbatical leave are reminded and encouraged to investigate and apply for possible outside funding. The combination of half-salary and sabbatical supplement will equal five-sixths of your full salary (for a full-year sabbatical). Faculty are encouraged to contact the Office for Sponsored Faculty Projects and William Billiter, Executive  Director of Sponsored Research & Strategic Initiatives (740-427-5088) for help in identifying and applying to possible outside funding sources. This should be done at least a year in advance of your leave. Many grants and fellowships have summer and early fall due dates.

If your leave plans depend on external funding or special arrangements to complete, be sure to have a back-up plan in case the external funding or arrangements do not work out.

  1. The Provost will review all proposals. A list of endorsed sabbatical leaves and supplements and proposal abstracts are presented for confirmation at the Board of Trustees meeting in late October.
  2. You will be notified of the decision on your sabbatical proposal and sabbatical supplement (if requested) by letter after the yearly October board meeting. The actual amount of your supplement will be included on your faculty contract in April.
  3. Upon returning from sabbatical leave, you must submit a report to the Provost no later than October 1st of each year, summarizing your accomplishments. You are also encouraged to make some type of public presentation sharing the outcome of your sabbatical work.

For additional information on sabbaticals, please refer to the Faculty Handbook.
