College Updates Policy for Kenyon Google Accounts

New routines for closing inactive Kenyon email accounts aim to reduce cybersecurity risks and data storage costs.

In the face of increasing cybersecurity risks and growing data storage costs, the College has updated its policy for how long Kenyon email and other Google Workspace accounts will remain active after staff and students leave the College.

In keeping with best practices, staff accounts will be closed on the next business day following a retirement or departure, effective Nov. 15, 2025. In planning for their last day, staff members should work with their supervisors to ensure that College files are properly transferred and stored, and that any personal data they wish to retain has been exported to their personal accounts. 

Students will continue to have 120 days after graduation to transition their Kenyon accounts and data to their personal accounts. During this period, graduates may use services such as Google Takeout to extract all their email and files into an archive.
