Driver Certification

Only certified employees and students are permitted to drive College vehicles.

In order to be certified, a driver must:

  1. Be at least 18 years of age to drive a College car or minivan, or at least 21 years old to drive a 12-passenger van.
  2. Possess a valid driver's license.
  3. Have fewer than six traffic violation demerit points, under Ohio state law.
  4. Have no chargeable accidents within the last 24 months.
  5. Have no convictions on record for driving under the influence of alcohol or drugs, or any other major traffic violation such as reckless operation, hit/skip, driving under suspension, or fleeing from a police officer.
  6. Be aware that the College will require a MVR from the state the license was issued. The following states will release the MVR only to the holder of the license: California, New Hampshire, Hawaii and Texas. If you reside in one of these states you will need to obtain your own MVR and submit it to the College before you will be able to drive the College vehicles. These students will also need to update their MVR with the College on a yearly basis to continue to be certified to drive.
  7. Attend a defensive driver class sponsored by the College and pass a written exam. In order to drive a 12-passenger van the driver must also complete an on-the-road training program.

  1. College vehicles can only be rented by College departments or campus organizations that are registered with the College.
  2. All drivers must be certified by the College, including a driving record check and completion of a driver training program. Certified drivers must be identified at the time vehicle reservations are made. Certification is completed with Business Services PBX 5250 and the 12 passenger van road test is completed at Campus Safety.
  3. A College vehicle must transport all persons invited to the College by organizations that require transportation. Student organizations may not transport guests in private cars driven by uncertified drivers because these drivers are not covered by the College's liability insurance.
  4. When a vehicle is needed by a registered organization, contact the Coordinator of Transportation Services in the Office of Campus Safety, Transportation@kenyon.edu. The organization must provide its name and account number, the destination, name of driver(s), date, and time of pickup and return. Requests must be made at least three days in advance and are granted based on vehicle availability. The use of a College vehicle can be denied in the event of adverse weather and unsafe road conditions.
  5. The following vehicles are available at the listed rates:
    • Sedans: 33 cents per mile
    • Seven-passenger vans: 33 cents per mile
    • 12-passenger vans: 43 cents per mile (special restrictions, see above)
  1. Drivers must:
    • Pick up keys, gas cards, and mileage forms from the switchboard operator in the Office of Campus Safety.
    • Follow all "rules of the road" when operating a College vehicle.
    • Return the vehicle to the appropriate parking spot as scheduled and turn in all keys, gas receipts, and mileage forms to the switchboard upon return.
  1. Possession or consumption of alcohol or illegal drugs is prohibited in College vehicles. Smoking is also prohibited.

Special Guidelines for Kenyon sponsored van trips that involve round-trip mileage of 400 or more miles:

  1. No more than two vans may be used for a single-destination trip. Larger groups are required to use buses with paid drivers.
  2. A minimum of one certified driver per 400 miles must be identified.
  3. A maximum of 16 hours of continuous travel is allowable, after which a layover of at least 8 hours is required. Drivers must rest for at least 1 hour for every 4 consecutive hours of driving and may not drive for more than 8 hours per day.
  4. Trip itineraries must be submitted for review. Review will include route, distance/time relationship and planned layovers. The rental will be denied if the itinerary is determined to be unsatisfactory. Circumstances may be sufficiently unique that an exception to this policy may be warranted. Appeals should be in writing and be submitted at least 10 days prior to the planned departure to the Director of Student Activities. The appeal should clearly describe the reasons why an exception to this policy is warranted and should include driver itineraries and any other information the appellant considers relevant.
  5. Layovers are required in the event of adverse weather and unsafe road conditions. Renters will be issued a College credit card for such emergencies and any layover expenses will be funded by the College.
  6. A faculty or staff sponsor must be identified. The sponsor will either go along on the trip or provide written acknowledgment of responsibility to serve as an emergency contact here on campus.
